Job Description:
District Court holds the designation of keeper of the records. This office will maintain records on a variety of cases which include civil, juvenile, criminal, fish and game, traffic, adoptions and care and treatment. The majority of the cases are open to the public. A few types of cases are sealed to the public and inappropriate release of information regarding some of these cases is a misdemeanor. The Deputy Clerk shall ensure that all items are filed and include the correct information such as case name, case number and the correct docket fee is paid. Upon filing the Deputy Clerk will ensure that all appropriate follow up occurs: Copies to parties, attorney, Court Services, Community Corrections, LEO Issuance of service (warrants, orders to transport) Statistical termination of cases, Entry of costs/fees due in accounts receivable, Copies to external agencies – KS Sentencing Commission, DCF, St Francis Ministries. Deputy Clerk is tasked with ensuring correct information is entered on all entries. Correct spelling, correct accounting, and documentation of action taken by the Clerk. Deputy Clerk is responsible for receipt of funds due for Court Costs, payments for fish and game, criminal and traffic tickets, copies, passports (Decatur/Graham only) tax sales and sheriff sales. Deputy Clerk is responsible for summoning jurors for upcoming jury trials. The majority of the filings that occur are through e-filing. This is the electronic submission of documents through a designated website. All attorneys that file documents are required to submit them electronically. The public/Judges/agencies are permitted to file at the counter or by fax. Documents submitted in this fashion are scanned and placed into the case management program called Odyssey. Once the electronic documents are approved by the District Court staff, they are also loaded into the Odyssey system. Since paper is allowed, you will learn two ways to file cases – paper and electronically. Deputy Clerks will travel to the mid year training in April (Hays) and district meetings. Future projects in the office will include: Backloading of cases. Work Share (working filings on behalf of other counties throughout the state)
